Job Description:

50% System Administration (Maxient)

  • Serve as primary functional system administrator for Maxient system, the case management system used by the Office of Student Conduct and Community Standards, KU Student Housing, Student Support and Case Management, the Office of Civil Rights and Title IX, and academic unit staff.

  • In coordination with SCCS staff, deliver Maxient training sessions for campus units and individual users. Serve as primary user support contact for campus units transitioning to Maxient system usage.

  • Manage Maxient system configuration and integration with the campus student information system. Ensure Maxient configuration includes up-to-date campus locations, charges, users, recipients, and other information.

  • Coordinate Maxient user account creation, updates, and system access as needed. Reassign hearing officer titles and access in the event of staff changes.

  • Update Maxient letter, form, and sanction templates as appropriate.

  • Manage incident report routing rules in Maxient. Update routing rules and recipients in the event of staff changes.

  • Provide support for Maxient analytics, including hearing officer dashboards and data tracking. Coordinate with the Director and Maxient customer service to build custom analytics as requested by campus units.

  • Track Maxient updates and new features. Attend Maxient trainings as needed. Collaborate with the Director to train hearing officers and KU users on new features. Update Maxient user manual and training materials as needed.

  • Manage Student Conduct Institute platform user access and support on behalf of the university.

30% System Administration (Vector Solutions)

  • Serve as primary functional system administrator for Vector Solutions, a training and learning management platform that delivers required wellbeing education to KU students.

  • Manage platform configuration and ensure accurate integration with the campus student information system. Ensure Vector Solutions platform configuration includes up-to-date content and student information.

  • Track Vector Solutions platform updates and new features. Participate in platform trainings as needed.

  • Collaborate with the Health Education Resource Office, the Sexual Assault Prevention and Education Center, and the Office of Diversity, Equity, Inclusion, and Belonging to review and customize educational content and automated email reminders.

20% Program Support

  • Manage enrollment holds for students who have not completed required sanctions or educational trainings.

  • Develop reports through systems that support accountability, assist with assessing effectiveness and decision-making, and other departmental needs.

  • Establish and maintain relationships with colleagues across Student Affairs and the university, building key partnerships with Student Conduct and Community Standards, the Health Education Resource Office, the Sexual Assault Prevent and Education Center, Academic Success, Student Information Systems, and KU Information Technology.

  • Provide support as needed to other Student Affairs enterprise systems, such as Rock Chalk Central/CORQ and MySSP.

  • Lead project teams as needed to obtain feedback, allow for collaborative design making on systems customization and upgrades, and to update system owners on key changes and updates.

  • Perform other duties as assigned.

Required Qualifications:

  1. Bachelor’s degree and one year of relevant experience, associate’s degree and three years of relevant experience, or high school diploma and five years of relevant experience.

  2. Excellent written and verbal communication skills, as evidenced by application materials, interview, and references.

  3. Experience managing confidential and sensitive information.

  4. Experience with Microsoft Excel, particularly the ability to sort, filter, and create tables.

  5. Demonstrated ability to manage complex systems and information.

Preferred Qualifications:

  1. Experience working in a higher education setting.

  2. Demonstrated ability to work collaboratively with diverse populations of students, staff, faculty, administrators, and other members of the community.

  3. Experience with student conduct database software (Maxient or similar system).

  4. Familiarity with information systems (PeopleSoft Campus Solutions or similar system).

Position Overview:

The Student Affairs Functional Systems Analyst creates and manages systems to support student wellbeing, engagement, and success. This position manages the university’s student conduct and case management database, enabling campus units and individual users to maximize their work with students. The Student Affairs Functional Systems Analyst also serves as the primary administrator for the system supporting mandated student wellbeing education. This position serves as a member of the Student Affairs team and reports to the Assistant Vice Provost for Student Affairs.
