Overview

Provides general administrative support to the department including composing and typing routine correspondence and/or reports, completing administrative projects such as creating and updating databases, coordinating travel arrangements, records and transcribes assigned committee meeting minutes, provides assistance in preparing various materials for meetings, scheduling/coordinating meetings, maintaining department filing system, and performing accounts payable/receivable activities.

Responsibilities

  • Provides administrative and clerical support for the Center.

  • Maintains and coordinates schedule for the designated faculty and staff in the Center .

  • Arranges and coordinates travel for guests , faculty and staff .

  • Schedules and coordinates meetings and special functions: notifies personnel, schedules meeting room, and reserves equipment and supplies for meetings as needed.

  • Attends meetings, transcribes, distributes,and maintains minutes at meetings as requested.

  • Responsible for care and maintenance of office equipment.

  • Distributes mail for faculty and staff in the Center .

  • Word processes general correspondence, memorandums, meeting minutes, statistical reports, and other documents as needed.

  • Maintains and updates faculty biographical information, resume, and education records.

  • Maintains confidentiality of all Center contact and meeting discussions.

  • Operates and manages office communications, including telephone, FAX, and e-mail.

  • Triages calls to appropriate person by transferring calls or paging the appropriate faculty and staff when necessary.

  • Prioritizes calls to ensure timely response to urgent calls.

  • Performs accounting activities, creates expense reports, work orders, assists with capital equipment requests, and orders office supplies.

  • Assists with special and recurring administrative and research projects.

  • Creates, maintains, and modifies databases.

  • Prepares text and graphics for posters and presentations using word processing and graphics software.

  • Prepares slides and spreadsheets for special projects as needed.

  • Retrieves special data as requested by Director and/or Medical Director, Chief Wellness Officer, or staff.

  • Assists with preparation of manuscripts, protocols, and grant applications as needed.

  • Assists with data tracking in Redcap, creating surveys and/or other requests as needed.

  • Maintains Center filing system to ensure records are complete and accurate.

  • Ensures pertinent information is contained in the Center files.

  • Updates and maintains electronic filing system on a regular basis.

Qualifications

  • High school diploma or equivalent

  • 2 - 4 years of experience

  • Strong oral and written communication skills

  • Organization and time management skills

  • Excellent customer relations

  • Familiarity with Microsoft Windows, Word, Excel, Access, PowerPoint, and RedCap

Starting Pay

Our pay ranges are market competitive. The pay range for this job begins at $17.56, but your offer will be determined based on your education and experience.

Remote Work/Work from Home

This position is not eligible work remotely, which means that the person hired will be required to work onsite at one of our Children’s Mercy locations and may not work from home.
