Position Title: Senior Executive Secretary, Grade D School/Division: School of Business Full Time/Part Time: Full-Time Description: Reporting to the Chair of the department, this position provides clerical support to the department chair and faculty members. Responsibilities include, but are not limited to: Assists with the day-to-day office operations of the department. Responsible for assisting the Chairperson with class schedules, submitting workflow requests for class schedules, working with Academic Scheduling and Events Management on room assignment issues, etc. Makes student advisement appointments for Chairperson using Outlook calendar. Maintains email lists of students and sends emails on behalf of Chair. Maintains up to date employee files, including peer observations, appointment and reappointment letters, annual evaluations and CTR ratings, etc. Responsible to keep files organized and up to date including those on shared drive. Maintains and processes academic forms, such as change of study, dual degree conditional acceptance forms, change of grade form, etc. Assists with overseeing all internships and prepares workflows and registration overrides. Coordinates mailings and handles mail and material with discretion. Assists with hiring, training, and supervising student aids. Coordinates with the Office of Student Employment regarding permits/paperwork, review and submit e-time for approval, and monitor hours/wages. Orders supplies within department budget. Reviews travel requests and reimbursement requests for completeness and accuracy. Coordinates advisory board and department meetings, including emailing invitations, collecting RSVPs, reserving room, ordering food, preparing name tags, and if needed attends advisory board meeting. Maintains and updates all department records/spreadsheets. May perform other duties not specifically listed above but which require the same degree of skill and which are normally included within the above job title. Hours: Monday through Friday 9am to 5pm. Subject to bumping. Qualifications: Excellent interpersonal and communication skills for working with faculty, students, and colleagues required. Ability to prioritize and work on own initiative. Prior office experience. Proficiency in Microsoft Word, Excel, and Outlook. Preferred Qualifications: Knowledge of Banner Web, Banner Proper and Banner Workflow preferred.
