Position Title: Part-Time Secretary, Grade B School/Division: Hofstra College of Liberal Arts and Sciences-Social Science Office: Hofstra College of Liberal Arts and Sciences (HCLAS), Economics Full Time/Part Time: Part-Time Description: Reporting to the Department Chair, the Part-Time Secretary provides general secretarial support for faculty members and assists with daily office operations. Responsibilities include, but are not limited to: Greets visitors and callers, handling their inquiries and directing them to the appropriate individual. Maintains and updates departmental files and student records. Assists with scheduling student advising and other appointments with the Department Chair. Assists with preparation of reports. Orders equipment and supplies for the department and maintains transaction log of all purchases. Completes and submits purchase requisitions and maintains records of all orders. Maintains general office supplies inventory and places orders when needed. Maintains office equipment by making necessary service calls and ordering computer/printer supplies. Assists students with the registration process by submitting overrides. Manages and distributes incoming mail and other materials. Assists with supervision of student employees and reviews student employee's hours worked each week. Confers with faculty to order required textbooks each semester. Submits work orders and key requests to Plant Department. Makes travel arrangements – orders buses, car service, etc. and completes check requisitions for travel reimbursements. Sets up and maintains department calendars (teaching, tutoring, events, office hours, etc.) each semester. Assists with review and updates departmental web pages in consultation with the chair and faculty. Assists with the preparation of pamphlets and other departmental information documents. May perform other duties not specifically identified above, but which require the same degree of skill and which are normally included within the above job title. Hours: Monday through Thursday 9am to 2pm. Subject to bumping Qualifications: Excellent interpersonal and communication skills required. Ability to prioritize and work on own initiatives in a fast-paced, deadline driven environment. Excellent typing skills and proficiency in Microsoft Word, Excel, and Outlook.
