Position Title: Accounts Clerk Specialist, Grade D School/Division: Facilities and Operations Full Time/Part Time: Full-Time Description: Reporting to the Information Systems Manager, Physical Plant, the Accounts Clerk Specialist will provide bookkeeping support to the Facilities and Operations department. Responsibilities include, but are not limited to: Assists with facilitating work order requests including, answering incoming work request calls, processing work requests, entering requests into the work order system and dispatching. Facilitates key requests including, entering the work order system, following up with recipients when keys are ready, utilizing the key tracking system to record key distribution and recipient signatures, and maintaining files. Assists in the maintenance of open and closed work order files. Assists with contacting vendors to facilitate repairs, as directed by trades personnel and/or administrators. Acts as liaison between departments for inquiries concerning work requests. Produces reports for manager upon request. Handles reception desk duties. Assists with training of student aides. Provides coverage for secretary when needed. Backups up other work control group staff when needed. May perform other assigned duties not specifically identified above but which require the same degree of skill and which are normally included with the above job description. Hours: Monday through Friday 8am to 4pm. Subject to bumping. Qualifications: Strong verbal and written communication skills required. Detailed oriented, organized, and ability to multitask efficiently. Ability and willingness to work collaboratively with other group members in a team environment and provide superior customer service in a fast-paced emergency response service organization. Proficiency with data entry using Microsoft Office products. Preferred Qualifications: Knowledge of maintenance work order systems and scheduling software preferred. Knowledge of Microsoft Access and Visio.
