Position : Maintenance Systems Coordinator

Manage the purchasing of parts and supplies and the coordination of the work to be performed within the Maintenance function. Organize, prepare and implement planned and emergency maintenance work activities for the department. Generate and schedule maintenance work orders, track department objectives, and generate reports and analysis. Assist the Plant Engineer as required and interact with the production department and maintenance craftsmen. Utilize both a CMMS and hard copies of information.

  • Continuously drive the facility’s culture toward a higher level of safety. Challenge status quo safety behaviors, engage in safety initiatives and ensure safety related training is attended by all employees

  • Interface with the Plant Engineer to drive details of work orders and projects. Collect information and organize, plan, schedule and reviews it according to the processes and procedures defined in the Asset Reliability Model

  • Negotiate with and coordinate activities with other department managers

  • Advise or interpret information for operations and maintenance personnel and provide feedback in the form of metrics, effectiveness and efficiency

  • Exchange information with supervisors, distributors, equipment manufacturers and vendors or contractors. In coordination with Plant Engineer, guide maintenance personnel in planned and unplanned work activities

  • Manage planning information in CMMS

  • Determine need for special tools and equipment and arrange their scheduling for the job

  • Estimate prep work and job labor requirements

  • Assign work to Maintenance Technicians and follow up to ensure that the work was completed

  • Maintain responsibility for the accuracy of cross-referencing Bill of Materials (part numbers, vendor information, descriptions, etc.)

  • Administer work order systems including managing backlog, providing appropriate status on items, and strategically working through backlog planning

  • Produce job plans from data in the CMMS (SAP)

  • Determine the level of job planning required for large maintenance jobs

  • Develop labor estimate for those jobs where planning is not needed

  • Develop a Job Survey for each job requiring planning

  • Determine the “Planning Status” of Work Orders

  • Determine manpower requirements and work schedules

  • Review, analyze and evaluate the quality, cost, availability, etc., of parts for the planning process

  • Determine spare parts requirements based on availability, criticality, lead times and cost

  • Maintain new parts manuals, operating manuals, drawings, and files in CMMS per the work order folder

  • Provide copies of prints, manuals, and files upon request for the planning process

  • Develop and maintain Preventive and Predictive Maintenance Schedules

  • Coordinate with Production Planning on machine availability

  • Lead day-to-day operations of the onsite MRO inventory

  • Ensure the planned and scheduled work activities remain in or exceed the standards and specifications established by Quality Assurance

  • Drive key performance indicators to all levels within the organization and participate in making recommendations for necessary changes to enhance the business objectives

  • Initiate and drive continuous improvement activities in department, operations, and other areas of the facility as part of the team to ensure plant sustainability

  • Partner with other departments regarding the resolution of ongoing problems, the implementation of new procedures or process, the injection of new products or product lines, and the development of new plan and designs

  • Develop, administer and communicate the written planning process to the Plant Engineer, Maintenance Supervisor and Maintenance Technicians. Ensure good business communication practices are engaged at all levels to ensure key stakeholders are well informed

  • Ensure a decisive understanding of uptime, problem solving techniques, motivational techniques, long range planning

  • High School Diploma or equivalent required

  • 3-5 years of mechanical experience demonstrating a solid knowledge of equipment

  • 1+ year experience in a manufacturing environment – prefer food or beverage

  • Associates Degree in related field

  • Journeyman’s certification or apprenticeship in mechanical, electrical or skilled work and 3 years of experience

  • 1-3 years of Scheduling, Maintenance Planning or Machine Reliability experience

  • Skills that foster good working relationships with all levels within the organization

  • Computer skills - Microsoft Word, Excel, PowerPoint and Outlook

  • Excellent commination skills between all levels of the organization

  • Strong knowledge of computerized maintenance system (SAP Preferred)

  • Must be able to read, write and speak English
