We are seeking a skilled and detail-oriented individual to join our MN State Academies Fiscal Services team as a payroll coordinator.
- Thisposition plays a crucial role in providing payroll related accounting work for Minnesota State Academies (MSA). The position is primarily responsible for payroll processing through SEMA4. Main job duties include processing payroll to ensure MSA employees are accurately and timely paid, manage salary adjustments, auditing all payroll related transactions, running payroll reports, SEMA4 Labor funding distribution to ensure proper allocation to accounts and perform other general payroll related tasks. This position ensures that payroll completion schedules are maintained and adhered to by staff and that users receive direction as needed. The incumbent coordinates and resolves payroll issues with Human Resource, Finance Director, MMB Central Payroll, employees, supervisors, and managers. This position is onsite on the MSAD campus.
Job Duties Included but not limited to:
Reviewing, analyzing, and validating employee timesheets and resolving discrepancies
Calculating and processing payroll adjustments
Ensuring business expense reimbursements are accurately documented and processed in a timely manner
Verify FMLA eligibility for the HR Specialist
Ability to maintain a high level of integrity and confidentiality.
Other duties as assigned.
Minimum Qualifications
Candidates must clearly demonstrate all of the following qualifications in their resume.
- This position requires a minimum of one (1) year of payroll processing experience.
Experience must include the following:
Experience with reviewing, reconciling and analyzing payroll transactions.
Skills in customer service sufficient to provide prompt, courteous and accurate information to employees in person, on the phone, in virtual meetings, and through e-mail and other written correspondence.
Ability to use word processing, spreadsheet, and other software applications to prepare reports, letters, and other related documents. Ability to check input and output data for completeness, accuracy, and discrepancies.
Strong attention to detail and high degree of accuracy working with numbers
Strong organizational and multitasking abilities
Ability to interpret and explain payroll policies, procedures, and practices
Preferred Qualifications
Knowledge of state personnel, laws, rules, policies and procedures as they apply to payroll.
Knowledge of applicable bargaining unit agreements/plans related to payroll.
Work experience with SEMA4, SWIFT or similar payroll applications.
Familiarity with State’s appropriation, budgetary, and accounting systems.
Knowledge of American Sign Language (ASL)
Physical Requirements
- Ability to lift up to 50 pounds (with assistance) and be able to sit, stand and walk throughout the workday/work shift.
