This position will provide executive administrative support to the Vice President of Treasury and the Vice President & Chief Accounting Officer. Key responsibilities include calendar management, travel arrangements, expense processing, and other administrative tasks on behalf of the VPs. The ideal candidate will be detail-oriented, have excellent communication skills, and the ability to manage multiple tasks efficiently and in a confident and professional manner.

This role is primarily onsite in Davidson, NC, with some flexibility in schedule as business needs support.

*What you will do:  *

  • Calendar Management: Efficiently manage and coordinate executives' calendars, including scheduling meetings, appointments, and events. Ensure executives are aware of upcoming commitments and responsibilities.

  • Travel Planning and Expense Management: Arrange complex and detailed travel plans, itineraries, and agendas. Prepare and process expense reports in a timely manner, ensuring accuracy and compliance with company policies.

  • Event and Meeting Planning: Organize and coordinate internal and external meetings, conferences, and events. Prepare agendas, take minutes, and follow up on action items. Ensure all logistical aspects are handled smoothly.

  • Document Management: Maintain organized filing systems, both electronic and paper-based. Ensure documents are easily accessible and up-to-date. Manage documentation associated with key events, including board of director meetings, monthly financial reviews, and other important events. Prepare and distribute meeting materials, compile reports, and ensure all necessary documentation is complete and accurate.

  • Become an integral part of the teams supported and get to know the important internal and external stakeholders well. Represent Trane Technologies articulately, professionally, and competently to internal and external audiences.

  • Departmental Purchasing: Utilize Oracle to invoice, set up new suppliers, prepare purchase requisitions, purchase orders, receive on purchase orders and submit for payment

  • General Support: order supplies, facilitate technical support, complete other ad-hoc requests as needed

What you will bring:

  • Minimum 5 years of experience as an Administrative Assistant supporting executives

  • Bachelor’s degree preferred

  • Detail-oriented with exemplary planning and organization skills

  • Ability to effectively communicate, both written and verbal, to all levels of the organization

  • Excellent Outlook, Teams, Word, Excel, and PowerPoint skills

  • Must be able to work independently with minimum supervision and guidance, prioritize work and handle simultaneous assignments with success and accuracy

  • Must be able to work effectively and accurately under pressure with tight timeframes

  • Must be flexible and adaptable. Willing to work extended hours when necessary, such as arriving early, adjusting lunch hour, or staying later in the evening depending on various activities/deadlines

  • Demonstrated track record of interacting with all levels of management, staff, and outside contacts in a courteous, professional, and discreet manner

  • Ability to handle confidential information in a professional manner
