We are seeking a highly motivated and organized individual to join our team as an Executive Assistant, providing comprehensive support to two Presidents within our organization. This role requires exceptional multitasking skills, the ability to work autonomously and collaboratively, and handle sensitive and confidential information with utmost discretion. The ideal candidate will have a proven track record of supporting high-level executives, managing complex administrative tasks, and effectively communicating with internal and external stakeholders.

*What you will do:  *

  • Provide high-level administrative support to one President and two other members of the leadership team, managing their daily activities, calendars, and travel arrangements.

  • Act as a gatekeeper, screening calls and emails, responding to or redirecting inquiries as necessary and ensuring urgent matters are promptly addressed.

  • Manage complex schedules, including arranging and coordinating meetings, conference calls, and international travel itineraries, while considering time zone differences and the executives' availability.

  • Prepare and organize documents, presentations, and correspondence for meetings, ensuring accuracy, professionalism, and adherence to established formats and protocols.

  • Conduct research, gather information, and compile reports on specific topics to support decision-making processes.

  • Liaise with internal and external stakeholders, including clients, partners, representing the executives professionally and maintaining strong working relationships.

  • Coordinate and prioritize multiple projects simultaneously, following up on action items and monitoring progress to ensure timely completion.

  • Prepare expense reports, manage invoices, and maintain proper documentation of financial transactions.

  • Assist with the planning and execution of on-site and off-site events, including company-wide meetings, conferences, and team-building activities.

  • Maintain confidentiality of sensitive information, exercising discretion and sound judgment in handling discreet matters.

  • Stay informed of industry trends, organizational goals, and changes within the company to provide proactive support and anticipate the executives' needs effectively.

  • Collaborate with the executive administrative team to streamline processes, share best practices, and improve overall efficiency and effectiveness.

What you will bring:

  • Proven experience as an Executive Assistant supporting high-level executives, preferably within a fast-paced and dynamic environment.

  • Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines effectively.

  • Strong written and verbal communication skills, with the ability to communicate professionally and confidently at various levels of the organization.

  • Excellent interpersonal skills, with the ability to build and maintain relationships with internal and external stakeholders.

  • Proficiency in managing complex calendars, travel arrangements, and meeting across multiple time zones.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

  • Strong attention to detail and the ability to produce accurate and error-free work under tight deadlines.

  • Discretion and confidentiality in handling sensitive information.

  • Ability to work independently and collaboratively within a team environment.

  • Adaptability and resourcefulness in managing unexpected changes and challenges.11. Bachelor's degree preferred, but not required.
