Ohio State University Office Assistant in Columbus, Ohio

Summary of Duties:

Under the direct supervision of the Stone Lab Business Office Manager, serves as the Stone Laboratory office assistant; assists in the coordination and scheduling of Stone Laboratory field trips and events; provides exceptional customer service in all aspects including greets visitors, answers phones, and provides general information; assists with accounts receivables, including utilizing financial databases; follows up on past-due accounts; assists with Stone Laboratory procurement, including the initiation of purchase orders, purchasing card purchases and employee reimbursements; ensures compliance with university policies and procedures; monitors fiscal transactions as needed; prepares, processes and manages deposit activities for Stone Laboratory; assumes responsibility for following and training staff regarding university cash handling policies and procedures and serves as co-lead regarding cash register transactions; refers to managers as needed for resolution if outside of guidelines; assists with clerical, data entry, fiscal and reporting procedures; performs general office duties including copying, printing, scanning, and distribution of documents as needed; monitors and tracks merchandise inventory and reports counts to Columbus Business Office; provides administrative and clerical support to Stone Laboratory managers and director; produces and analyzes reports as needed; maintains vehicle records and mileage logs; assigns vehicles and keys as needed; works closely with staff and faculty regarding vehicle needs and use; works with Columbus Business Office as needed; assists other Stone Laboratory operations associates to ensure optimal operation of all Stone Laboratory operations; attends and participates in meetings and takes minutes of meetings as needed; performs other duties as assigned. Position is a regular seasonal appointment that will last from March to late November 2021 (flexible beginning and end dates). Position located at Put-In-Bay, Ohio.

Required Qualifications:

Six months of experience (600 hours of course work) in office practices and procedures, including customer service/public relations; three months of experience (300 hours of training) operating basic office machines and equipment (e.g., computer related and peripheral equipment, copy machines, typewriters, calculators).

Desired Qualifications:

Experience in a business office in an administrative or clerical role; strong customer service skills; strong work ethic; demonstrates the ability to adapt to changing situations; ability to multi-task; excellent computer skills in Microsoft Word, and Excel. Experience with University financial software and supply chain procedures; experience with cash handling and cash register use desired; knowledge of university policies and procedures desired; knowledge of the Put-In-Bay and Lake Erie area desired.

Target Salary: $15.00 Hourly
