JOB SUMMARY: Assists proposal team in preparation of Request For Proposal (RFP) responses for existing and potential clients. Responsible for leveraging a basic understanding of record keeping platforms, products, and sales functions to support business retention and growth. Coordinates the packaging and delivery of responses to all RFPs/ information from clients and/or consultants, supporting materials in coordination with client visits and finalist presentations, and various reports and retention presentations. Corresponds with clients on behalf of management, sales, and the field. Administers related databases, surveys, and reporting.
Reports to: Manager / Director
- Assists in preparing RFP responses by identifying the appropriateness of exhibit materials based on the applicable record keeping system and other project requirements; maintaining appropriate inventory levels of exhibit materials, binders, and other supplies necessary in the preparation of response; communicates with other areas of the company to establish and maintain relationships with both internal and external suppliers; designing and creating sample exhibit materials as needed, etc.
2.Leverages an in-depth knowledge of materials and processes for the purpose of facilitating accurate, consistent and timely responses to a wide variety of projects (including RFP/RFI proposals, finalist presentations, site visits, investment evaluations) as led by proposal specialists and other business partners.
3.Administers the RFP master database, which contains the historic master files and databases of approved answers to frequently asked questions on the business unit’s corporate capabilities.
4.May administer the survey process, responsible for tracking RFP activity and reporting to survey company to initiate surveys on won/lost opportunities and departing clients.
5.Packages, maintains and distributes materials solicited as a part of our competitive intelligence initiative.
Education: Undergraduate studies in business administration or related field preferred. Participation in, or attainment of, technical coursework desirable.
Certification: Associates must obtain the required Federal and/or state licenses/registrations within the time period designated by the business unit. Additional licenses/registrations may be required when new products and services are implemented. If an associate fails or is unable to obtain required licenses/registrations within the time period designated by the business unit, the associate will be ineligible to continue in the position.
Experience: Two years related product experience in areas such as customer service, plan administration, underwriting, sales or marketing.
Knowledge: Basic knowledge of marketing techniques and approaches, systems administration and analysis, and project management. Must have knowledge of products, services and processes of the related business unit.
Skills: Excellent computer skills including the ability to build unique templates and create layout and design using desktop publishing; proficiency in MS Office and proposal software. Requires strong written and verbal communication skills to develop technical and creative pieces. Requires communication skills necessary to interview sources for information. Requires strong relationship management and project management skills under pressure and time constraints.
Staffing exceptions to the above Minimum Job Requirements must be approved by: Business Unit Officer and HR Officer.
Working Conditions: Normal office environment. Occasional travel. Non-standard or extended work may be required based on project needs.
