    Job Description

SENIOR ACADEMIC PROGRAMS ASSISTANT, Earth, Atmospheric, and Planetary Sciences (EAPS)-Education Office, to perform complex and diverse administrative and office management duties in support of the academic administrator. This office serves approximately 40 faculty, 195 graduate students, and 40 undergraduate students and is the first point of contact for external constituencies. Will problem solve highly varied and complex situations and serve as a high-level individual contributor to multiple projects. Primary responsibilities include responding to telephone and email inquiries; processing and managing graduate student appointments, grades, degree lists, and thesis submissions; scheduling classrooms for the building and coordinating scheduling with other headquarters administrative assistants (AAs); maintaining databases for student records and admissions; monitoring expenses and processing reimbursements; maintaining the internal pages of the department website; drafting correspondence and scheduling meetings for the admissions/education committees; assisting in the organization and running of other educational activities (e.g., DEAPS, IAP, UROP, field trips, admissions open house, and orientation); providing training on Education Office procedures and regularly reviewing with AAs; working with faculty and their support staff on processing visiting student applications; creating and distributing presentation materials; and providing general support to the academic administrator.

Job Requirements

REQUIRED; high school diploma or its equivalent; five years’ administrative/related experience in student services or similar position; excellent organizational, time management, project management, interpersonal, and verbal and written communication skills; attention to detail; ability to work independently and as part of a team; initiative and self-motivation; service orientation; comfort working in a complex, fast-paced environment; and proficiency with MS Office. PREFERRED: bachelor’s degree; knowledge of SAP, Concur travel reporting, graduate appointments portal, FileMaker, Drupal, or similar systems; and interest in educational administration.
