FINANCIAL ASSISTANT II, Morningside Academy for Design (MAD) and MITdesignX (part-time, 30 hrs/wk.), to provide diverse financial support for MAD (https://design.mit.edu/) (80%) and designX (https://designx.mit.edu/?o=dx) (20%), including reviewing, processing, and/or tracking financial transactions. Will act as a financial support to MAD, its founding faculty director, and associate director for administration; and provide some financial support to designX. Responsibilities include monitoring activity in cost objects; researching and gathering information for financial projects; handling salary distribution changes; processing student appointments; assisting with preparing financial/budget spreadsheets, documentation, and/or forms; reviewing, processing, and tracking payments and reconciling bills, invoices, requisitions, purchase orders, procurement card charges, and requests for payment; reviewing monthly transactions related to various cost objects (FRC), ensuring that expenses and revenues are accurate, timely, complete, and properly documented; reviewing and approving expense reports; approving reimbursement of expenses for materials and services; approving invoices/RFPs and travel expense reports; processing accounts receivable; reconciling payroll, maintaining records, assisting with salary forecasting, and processing weekly payroll; maintaining records, files, and/or reports; generating reports; account maintenance; and other duties as requested. May track proposals and monitor and reconcile grant budgets, and complete and submit salary distribution reports.
Job Requirements
REQUIRED: high school diploma or its equivalent; three years of accounting or finance experience; experience applying standards and processes in financial support; flexibility; ability to handle a wide variety of duties during MAD’s start-up phase, learn quickly, and work with critical time demands in an environment with competing priorities; strong organizational skills; discretion, diplomacy, and good judgment; ability work as part of a team with a creative and diverse group of people; and attention to accuracy and detail.
