    Job Description

FINANCIAL ASSISTANT 3, Mathematics, to provide complex and diverse financial support. Will review and process financial transactions, e.g., purchasing, credit cards, journal vouchers, requests for payment, and travel reports; and provide training and support to others as needed. Responsibilities include verifying purchasing card transactions, reconciling accounts, and fixing discrepancies; reviewing monthly transactions and ensuring expenses and revenues are accurate, timely, complete, and properly documented; reviewing and approving RFPs, requisitions, and invoices; tracking payments and reconciling invoices; working with vendors to ensure timely payments and settling billing discrepancies; coordinating billing and invoicing with Math staff and managers; responding to invoice- and cost object-related questions; preparing and managing financial reports; maintaining financial records; working with the director of administration and finance on periodic audits; troubleshooting financial matters and acting as the department’s first point of contact; and performing other duties as requested.

Job Requirements

REQUIRED: high school diploma or its equivalent; five years’ accounting/finance experience; excellent organizational, analytical, problem-solving, customer service, interpersonal, and verbal and written communication skills; meticulous attention to detail; experience organizing events; discretion and good judgment with confidential information; proficiency with MS Office, Outlook, and Excel; and willingness to learn new programs/software as needed. Must be able to anticipate needs, manage multiple competing priorities, track work in progress, follow through on tasks, and meet deadlines despite frequent interruptions; process complex financial transactions; compose memos/correspondence; work independently with minimal supervision and as part of a team; and interact effectively with a diverse group of faculty/students/staff/sponsors. PREFERRED: bachelor's degree; MIT experience; and experience with systems/tools used at MIT, e.g., Atlas, Concur, SAP, Coupa, Cognos, and Zoom.
