    Job Description

FINANCIAL ASSISTANT 2, Lemelson/MIT Program (LMIT), to administer a wide range of day-to-day financial transactions. Will provide backup support for the senior manager of finance, grants, and operation; process accounts payable, requisitions, and journal vouchers; verify credit card purchases; generate financial reports; and research finance discrepancies and make corrections. Responsibilities include processing invoices, RFPs, and travel expense reports; creating requisitions/purchase orders, interacting with vendors, and resolving purchasing/accounting discrepancies; completing monthly financial review and control; ensuring timely invoicing and payments to independent contractors; assisting with procurement card purchases, receipts, and reimbursements; helping develop, enact, and track adherence to financial policies; monitoring expenses for compliance with sponsor guidelines and approved budgets; maintaining records, generating reports, and performing account maintenance; administering LMIT InvenTeam high schools’ individual grant funding; serving as the main point of contact for membership fee processing for LMIT’s PiE offerings; tracking payments and information collected for professional development workshops; databases maintenance in Salesforce; assisting with events, meetings, and other aspects of LMIT program offerings; and other duties as assigned.

Job Requirements

REQUIRED: high school diploma or its equivalent; three years’ related administrative and financial experience; full working knowledge of general office practices/procedures; strong organizational, time-management, interpersonal, customer service, and oral and written communication skills; good judgment with confidential information; meticulous attention to detail; and proficiency with Microsoft Office, especially Excel. Must be able to remain flexible in the face of prioritizing multiple tasks simultaneously under deadline pressure, work independently and as part of a team, and interact effectively with a diverse group of individuals. PREFERRED: bachelor’s degree, experience with databases (SAP preferred), and MIT experience. Job #24375-5 This position will have a hybrid schedule, working three days on campus and two days remote. Must be able to occasionally work nights and weekends to support LMIT events, especially its signature event, EurekaFest, in Jun.
