    Job Description

DEAN'S OFFICE ASSISTANT, School of Science (SoS) (part-time, 30 hrs/wk.), to provide diverse administrative support to the School of Science Dean’s office. Will act as front desk coordinator for faculty, staff, and students meeting with the SoS dean’s staff; answer phone calls and triage visitors; manage and coordinate the schedules of two assistant deans and back-up calendaring support for the dean; assist in creating a welcoming and well-organized environment; oversee the ordering and maintenance of office supplies and equipment; set up and maintain common areas; submit copier readings to the vendor; coordinate monthly shredding service; coordinate Dean’s Office meetings, including catering, and set-up, and clean-up; organizing Dean’s Office staff celebrations; maintain files; address general and routine facilities requests, e.g. carpet cleaning, recycling old furniture, etc.; request keys; maintain supplies; handle mail; coordinate art installations as needed; order visitor parking passes; perform other administrative duties and special projects as necessary. Job Requirements

REQUIRED: high school diploma; three years’ relevant experience, preferably in an academic environment; excellent administrative, organizational, word processing, grammar, proofreading, interpersonal, and communication skills; self-motivation; keen attention to detail; discretion and good judgment with confidential matters; experience coordinating events and ordering food and office supplies; advanced-level proficiency using Word, PowerPoint, Excel, and Outlook; and ability to identify and learn new programs, software, and database systems as needed. Must be able to prioritize and problem solve under pressure, learn quickly and work within critical time demands, work independently and as part of a team, and collaborate effectively with people at all levels and from varied backgrounds.
