    Job Description

ADMINISTRATIVE ASSISTANT 2, Laboratory for Nuclear Science (LNS), to provide comprehensive administrative support to active faculty members, postdocs, graduate students, and staff. Responsibilities include acting as a primary contact for assigned professors and liaison between principal investigators (PIs) and all stakeholders; calendar management; answering phones; maintaining listservs; ordering supplies; basic website management; editing documents; overseeing the maintenance of office equipment and property inventory; setting up and maintaining common areas; solving basic computer issues; handling general financial duties, e.g., reimbursements, processing requisitions/purchase orders/requests for payment/invoices, managing purchase card (Pcard) transactions, etc.; file maintenance; coordinating logistics for events; responding to inquiries; coordinating the arrival of new students/staff/scholars; ensuring lab members are up-to-date on trainings and certifications; and performing other duties as assigned. Job Requirements

REQUIRED: high school diploma; three years’ administrative experience, preferably in higher education; Microsoft Office proficiency, strong data entry skills, and ability to use databases and to identify and quickly learn new applications; scheduling and calendar management skills; meticulous attention to detail; excellent organizational, interpersonal, and written (including spelling, punctuation, and grammar) and oral communication skills; initiative; tact and good judgment with confidential material; and ability to move items weighing up to 25 lbs. Must be able to proactively anticipate issues and complications before they arise and resolve problems in a thorough and timely manner, juggle multiple tasks and meet deadlines without compromising quality, handle a high volume of work, exercise independent judgment in considering a course of action, anticipate and act on the needs of direct managers/stakeholders, and provide information/service to a wide range of contacts.
