Job Description
ADMINISTRATIVE ASSISTANT, GLOBAL INVESTMENT STAFF (GIS), MIT Investment Management Company (MITIMCo) (https://mitimco.org/discover/) , to support multiple team members and collaborate across the broader organization. Core responsibilities will include interpreting policies and synthesizing, evaluating, and communicating information clearly; independently organizing workflows and priorities; coordinating extensive, complex domestic and international travel (including passport and global visa management); managing expense reports and reimbursements; scheduling internal and external meetings; managing the flow of critical information across the GIS’s research management database and other software tools; and regularly assisting with document and presentation edits (including board and investment committee memos). Additional responsibilities will include leading ad-hoc projects such as data and reporting administration, event planning, and managing agendas for weekly GIS meetings; and being part of a broader office administrative team that partners to provide occasional backup support for the office. Job Requirements
REQUIRED: high school diploma or its equivalent; five years of administrative experience; excellent interpersonal and communication skills; meticulous attention to detail; proficiency with Outlook email and calendaring, Excel, and Microsoft Word; ability to develop simple PowerPoint presentations; discretion and judgment with confidential information/issues; and comfort interacting with high-level executives, both internally and externally. Must be able to take initiative and work independently with minimal supervision; set priorities, problem-solve, multitask, manage competing demands, and meet deadlines, often under pressure and with frequent interruptions; and suggest and implement improvements/refinements to improve the overall effectiveness of the team. PREFERRED: bachelor’s degree and experience booking complex domestic and international travel for large teams and processing related reimbursements.
