Another extension of Pratt's campus is the Research Yard, a 20,000-square-foot facility that brings together the research activities of Pratt Institute under one roof in the Brooklyn Navy Yard (BNY). Description Under moderate day-to-day supervision, the Program Coordinator is primarily responsible for coordinating Pratt's portfolio of student exchange programs and develops, reviews, and executes exchange agreements within the Office of Education Abroad (OEA). The Program Coordinator exercises independent judgment and discretion when collaborating with a variety of constituents, both internal and external to Pratt. The Program Coordinator must exhibit a poised, polished demeanor, particularly in interactions with partner institutions and faculty, ensuring professional and effective communication. This individual also manages exchange student balances and communicates with academic departments throughout the year. The role requires someone highly organized, with excellent analytical skills and attention to detail. This is a hybrid role with four (4) days per week in person and one (1) day working remotely. The position is crucial within our International Education Office, contributing to the success of our student exchange programs. Examples of Duties Coordination of Exchange Programs Collaborate with the Director and Assistant Director to develop, implement, and manage student exchange programs. Gather information related to mobility numbers, academic mapping, and housing accommodations to include in agreements with partner institutions. Oversee critical program development elements such as timelines, deadlines, contract management, and outreach to students and faculty. Serve as the primary liaison with partner institutions, ensuring smooth operation and maintaining professional interactions Provide support to students in exchange programs, including pre-departure orientations and visa application assistance. Program Agreement Management Collaborate with Pratt Legal and Risk Management to ensure all agreements comply with institutional policies and international regulations. Maintain records of agreements, monitoring their implementation, expiration, and progress. Data Analysis & Visualization Maintain an organized database related to student exchange programs, including participation rates, academic performance, program portfolio, and other critical data points. Analyze data to identify trends, challenges, and opportunities for program improvement, presenting findings to various stakeholders through clear visual representations. Student-Facing Administrative Support Interact with students in a welcoming and professional manner; serve as the first point of contact for exchange students. Create and maintain documentation for all inbound and outbound student processes and conduct pre- and post-departure interviews. Advise and oversee student travel needs, managing feedback for continuous program improvement. Partner Institution Administrative Support Serve as a primary liaison for partner institutions, ensuring smooth and professional communication regarding program logistics, student exchanges, and contract details. Collaborate closely with partner institutions to facilitate and enhance mutual program processes. Proactively identify and engage with potential new partner schools to develop academically aligned exchange relationships, ensuring that new partnerships meet the educational standards and goals of both institutions. Faculty and Campus Administrative Support Act as a liaison for faculty members, providing clear and effective communication about program development and related contracts. Work with academic departments to assess and ensure the compatibility of curricular offerings between new partner schools and Pratt Institute, fostering beneficial and enriching exchange opportunities. Maintain correspondence with Department Chairs and Assistant Chairs regarding student nominations, ensuring all communications are accurate and timely. Work collaboratively with the Office of the Registrar, the Office of International Affairs, and other relevant offices at Pratt to ensure cohesive program implementation. Communications & Technology Support Collaborate with and manage graduate assistants in creating marketing materials (digital and analogue) that promote programs, enhance student and faculty experience, and increase visibility to the OEA. Develop infographics, guidelines, and forms for all inbound and outbound exchange students. Assist in the organization and maintenance of all social media accounts. Coordination and dissemination of promotional events and marketing materials via onePratt Messenger and other channels. Collaborate with the Assistant Director and Pratt Technology teams to manage and maintain the Terradotta system, ensuring effective oversight of billing processes, system integration, and maintenance of records (e.g., Visa, Cost Overview, Brochure), while also updating Terradotta and Pratt study abroad website. Office Support Manage the Director's calendar and coordinate meeting requests with professionalism. Assist OEA staff in planning and hosting external partner visits, demonstrating a balanced and confident presence. Collaborate with the Assistant Director to hire and supervise graduate assistants and undergraduate work-study students. Assist in managing the daily logistical needs of the OEA office space. Qualifications Bachelor's degree, preferably in International Relations/Education or related field; Master's degree preferred. Minimum 3 years of experience in international education or related field Knowledge of international education systems and student exchange programs Excellent project management skills with the ability to handle multiple projects simultaneously. Proficient in data analysis tools (e.g., Excel) and visualization software (e.g., Tableau). Exceptional communication skills with the ability to interact effectively with diverse groups including students, faculty, administrators, and overseas partners.
