Job Overview

This position has a primary function of managing the gift processing and record entry functions for Development across Tufts Medicine, including Tufts Medical Center, Lowell General Hospital, MelroseWakefield Healthcare, and Tufts Medicine Care at Home. Oversees the administration of charitable giving in accordance with donor intent and Tufts Medicine policies, and in adherence with IRS rules and regulations governing contributions. Oversees day-to-day operations of the gift processing and records team, which is responsible for receiving, recording, and depositing all funds designated as gifts to Tufts Medicine in a timely, accurate and efficient manner, providing information for acknowledgements of gifts, producing reports, maintaining accurate data in the donor database, and other necessary items. Partners with finance office and principal investigators.

Hybrid role with 2 days onsite and some off hours schedule to attend events.

Job Description

Minimum Qualifications:

  1. Bachelor’s degree AND Two (2) years of relevant experience in gift processing OR ;

High School Diploma or equivalent AND Six (6) years of relevant experience in gift processing.

Preferred Qualifications:

  1. Five (5) years of relevant experience in gift processing in a healthcare setting.

2.Experience with fund accounting.

  1. Experience with IRS laws governing charitable giving.

  2. Experience working with complex databases.

  3. Experience in data analysis, interpretation, and evaluation of information.

Duties and Responsibilities: The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned.

  1. Ensures accurate and timely entry and administration of gift information in the donor database and the system’s financial management system.

  2. Manages and supervises daily functions of the gift processing staff.

  3. Supervises the maintenance of constituent records across the Development database accurately and in a timely manner.

  4. Oversees deposit and data entry for complex transactions including the sale of securities gifts; non-gift revenue; pledge payments, reminders and uncollected pledges; and matching gift processing

  5. Serves as the contact person in communicating with donors and internal/external partners regarding gift revenue.

  6. Maintains Policy and Procedure manual for gift processing and record creation/maintenance.

  7. Reconciles a variety of accounting reports as needed, including monthly accounting feeds.

  8. Oversees the generation and correction of gift receipts, acknowledgements and end of the year giving statements.

  9. Trains Development support staff in using and updating donor and prospect records.

  10. Establishes new funds as needed in cooperation with the departments, gift officers, research administration, and research finance.

  11. When necessary, reviews gift fund activity to ensure that transactions are applied to the appropriate revenue account and works with Research Finance and departments to correct errors.

  12. Serves as the liaison with TM Treasury, Research, Finance, and any necessary partners to ensure the correct allocation of all philanthropic revenue.

Physical Requirements:

  1. This is largely a sedentary role, which involves sitting most of the time, but may involve movements such as walking, standing, reaching, ascending/descending stairs, and operating office equipment.

  2. Frequently required to speak, hear, communicate, and exchange information.

  3. Ability to see and read computer displays, read fine print, and/or normal type size print and distinguish letters, numbers and symbols.

  4. Requires manual dexterity using fine hand manipulation to operate computer keyboard.

Job Profile Summary

This role focuses on managing major program(s) or fundraising activities for the organization. Assists in developing fundraising and solicitation strategies and campaigns. In addition, this role focuses on performing duties to support the fundraising and/or development team. These duties may include: Assisting with administering policies and programs associated with public relations, communications, and special events designed to support development/advancement goals. Coordinating annual giving and memorial gift programs. Tracking and recording all donations, fund balances, and donor prospects. Conducting donor-related research to make informed decisions for communication efforts. Cultivating relationships with donors, maintaining donor database, developing donor communication, participating in special events, and acknowledging gifts. May be responsible for developing and managing planned giving programs. A professional individual contributor role that may direct the work of other lower level professionals or manage processes and programs. The majority of time is spent overseeing the design, implementation or delivery of processes, programs and policies using specialized knowledge and skills typically acquired through advanced education. A senior level role that requires advanced knowledge of job area typically obtained through advanced education and work experience. Typically responsible for: managing projects / processes, working independently with limited supervision, coaching and reviewing the work of lower level professionals, resolving difficult and sometimes complex problems.
