The Executive Assistant, SVP Patient Care Operations will be responsible for:
Supports the SVP, and their interactions with C-Suite Executives, Physicians Chiefs, Board members and National leaders.
Evaluates incoming issues and requests, determining appropriate actions, responses and solutions.
Manages two extremely active executive calendars, frequently subject to same-day changes due to rapidly shifting clinical, operational, and regulatory priorities; effective calendar management with consideration of timing, sequencing, and meeting location/travel requirements, composing correspondence;
Plans, prepares and organizes logistic and administrative requirements for executive meetings, seminars, conferences and special events. Obtains and organizes planning information, prepares or orders publicity materials and advertisements, reserves event location(s), prepares contract for SVP authorization, and secures necessary supplies, equipment and services. Responsible for meeting minutes.
Arranges external travel and prepares accurate itineraries
Accurately creates and maintains files and records, with ability to retrieve on demand; maintains an effective filing and document management system for all paper and electronic files, and preparing materials from existing historical files and relevant emails associated with daily meetings.
Receives and screens visitors, phone calls and emails and effectively relays confidential and/or sensitive information in a timely fashion via phone, email and messenger systems.
Maintains an in‑depth knowledge of executive and operational areas of responsibility throughout the hospital enterprise.
Communicates effectively with front-line staff, departmental leaders, senior leadership team and external contacts.
Monitors and reconciles monthly departmental expenses, researching and resolving errors or discrepancies.
Organizes and maintains daily administrative operations of department, including submission of departmental payroll authorization. Maintains vacation and travel schedules for Nursing/Patient Care Executive Committee members to facilitate agenda planning.
To qualify, you must have:
Associates Degree required, with Bachelor’s Degree preferred.
Minimum four years of experience as an Executive Assistant, with at least two years supporting a senior Executive. Healthcare experience preferred.
Extensive experience may substitute for degree.
Must be able to work under pressure, and handle a wide variety simultaneous activities and confidential matters with discretion.
Must possess expert / advanced skills with Microsoft Office Applications, including proficiency in Powerpoint and Excel.
Strong writing and editing skills.
