Supervises and leads the practice administrators in the development of business processes, practices, and standard operating procedures to utilize across the Department of Pediatrics. The Director serves as a representative and liaison for enterprise-wide initiatives and committees. Reports to the Executive Administrative Director, Pediatrics with an indirect report to the Vice Chair of Clinical Affairs.
The Director, Department of Pediatrics (DoP) Sub-Specialty Clinics will:
Supervise the practice administrators of the DoP sub-specialty clinics
Develop infrastructure that optimizes employee performance within and across teams to encompass the following: Facilitating the communication of shared operational goals and standards; identifying training needs and leading the implementation of same; formalizing feedback across teams; facilitating effective staff development programs, etc.
Provide administrative leadership and ensure compliance with regulatory requirements and Hospital policies at all Department of Pediatric subspecialty ambulatory clinics
Leads the department to implement and sustain consistent business processes built upon best practices and continuous improvement. Design and develop business processes, practices, and standard operating procedures across the department
Work with practice administrators and hospital leadership to optimize efficiency across our allotted ambulatory space and advocate for additional space if necessary
Serve as the department’s representative on the Telephone Super-users group; Review service level reports and strategize for improvement where needed. Work with the practice administrators to better understand telephone operations and make recommendations for “best practice” processes where appropriate
Work with the practice administrators to continually improve front desk operations. Coordinates the development of standard staffing reports to ensure optimal levels and benchmark against industry standards
Periodically review scheduling templates to identify opportunities for standardization and to improve resource utilization
Serve as a liaison to the PFSC project leadership for all DoP clinics and provide feedback and communication regarding opportunities for improvement
Maintain updated knowledge with regard to access standards and service level agreements. Review the Access Dashboard and identify opportunities for improvement
Champion enterprise-wide goals and initiatives as they relate to ambulatory clinics
Serves as a DoP representative and liaison to the following enterprise-wide groups and people: Enterprise Project Management Office (EPMO), Director of Patient Access, Director for the Center of Excellence for Pediatric Quality (Patient Experience Office), Telephone Super-users Group, and Ambulatory Operations monthly meeting
To qualify, you must have:
Bachelor’s Degree or equivalent education required; Master’s Degree strongly preferred
Minimum of 5 years of experience managing front-end operations in an ambulatory clinic
Familiarity with Lean Six-Sigma principles required with ongoing work/study to ultimately obtain a Lean Six-Sigma black belt
Results driven, with a strong focus and understanding of large multi-specialty ambulatory clinical areas
