Boston University ADMINISTRATIVE COORDINATOR FOR UNDERGRADUATE AFFAIRS, Associate Provost of Undergraduate Affairs in BOSTON, Massachusetts
The Administrative Coordinator for Undergraduate Affairs provides administrative and logistical support within the Office of the Associate Provost of Undergraduate Affairs.
Responsibilities:
Essential duties (and approximate percentages of time) include though are not limited to:
Handle logistical tasks for both small and large events. Tasks may include reserving spaces, coordinating broadcast email communications, catering, and AV equipment needs, and ordering giveaways and supplies: 30%
Schedule and coordinate administrative details for meetings, including assembling and distributing meeting agendas and materials in a timely manner and taking and reporting accurate meeting minute. Scheduling meetings with upper administration and handling confidential agendas and minutes: 20%
Ensure smooth office operations by utilizing the internal procurement system to make purchases from internal and external vendors, tracking expenses, monitoring department email account(s), making updates to departmental websites, and coordinating searches for open staff positions: 25%
Track and compile data related to departmental programming. Help manage confidential data regarding student records, including sensitive information about students on academic probation and their enrollment in the academic recovery program. Help manage reports of students in distress and collect this data in a sensitive manner : 10%
Carry out emerging special projects and perform other duties as assigned: 15%
Required Skills
Requires: B.A. /B.S. and one to three years of relevant experience.
Excellent communication and organizational skills, including ability to write well and to deal effectively and diplomatically with students, faculty, and staff from diverse backgrounds.
Proficient with Microsoft Office and Google Suite
Outstanding attention to detail.
Capable of handing multiple projects and priorities in consultation with others.
Able to work both independently and with a team.
Good judgement particularly in terms of handling sensitive/confidential information.
Ability to synthesize and analyze data and other information, and to produce reports, charts, graphs, etc., is desirable.

Cover letter and resume required. This role is eligible to apply for a remote-work arrangement for up to one day per week. Evening work may be required on occasion but will be scheduled far in advance.
