Albany Medical Center Administrative Support Associate VI- Day Care Center in Albany, New York

Salary Range: $18.00 - $21.60

Provides advanced administrative support and coordinates functions for effective operation and administration of office functions for Albany Med Kids. Reports directly to the Executive Director of the childcare program. Works closely with the Executive Director to establish and maintain an efficient, cohesive and productive work team within the office management of Albany Med Kids.

Responsibilities:

  • Communicates effectively on a wide range of issues with internal and/or external customers.

  • Records necessary waitlist information for potential families.

  • Answers telephones, takes messages and greets visitors to the office.

  • Reviews files for required forms on an annual basis for NYSOCFS licensing.

  • Assists in classrooms when additional staffing is needed.

  • Coordinates & documents annual completion of required AMC education modules as well as required OCFS trainings for staff.

  • Contacts perspective parents when slots become available within the program.

  • Conducts reference checks on potential employee candidates.

  • Processes billing for extra time usage.

  • Maintains inventory of office supplies and orders supplies based on knowledge of approved budget plan and program activity.

  • Accurately prepares and distributes letters/memos to parents and staff as requested by the executive director.

  • Maintains monthly calendar for executive director.

  • Screens and schedules applicant interviews.

  • Calculates, records and submits daily meal counts to AMC Food & Nutrition department.

Qualifications:

  • High School diploma or GED

  • Familiar with Microsoft applications

  • Knowledgeable of early childhood development, as well as NYS OCFS regulations pertaining to licensed childcare centers.
