FUNCTION & SCOPE:

The Research Foundation for the State University of New York is seeking a mature individual to work in a fast-paced environment under the direction of the Fiscal Operations Coordinator. The student will support Accounts Payable (AP) and Purchasing areas as well as other areas of the SUNY System Administration Sponsored Programs Office (SPO). The student will perform diversified administrative and accounting duties such as filing and maintaining electronic documents, entering invoices in the Oracle system, and other general accounting and administrative functions to support the SPO team.

DUTIES:

  • Data Entry of AP invoices in the Oracle business system.

  • Create and modify purchase orders in the Oracle business system.

  • Create, file, and maintain electronic documents in a shared network drive and the Oracle business system.

  • Monitor and respond to communication in shared email inboxes.

  • Audit daily payment register, and files attached to payment records in the Oracle business system.

  • Maintain current and accurate supplier file information.

  • Provide support to AP/PO Specialist and Fiscal Operations Coordinator.

  • Additional duties and projects as assigned by the Fiscal Operations Coordinator including but not limited to:

  • Collaborate with the Accounts Payable and Purchasing teams to streamline the electronic filing process for all payments.

  • Provide solutions to minimize duplicate filing and enhance workflow efficiency.

  • Document processes and procedures for continued systems improvements.

  • Lead weekly team meetings for enhanced communication.

  • Work with the team to build content for a website.

    Job Requirements:

EDUCATION AND EXPERIENCE:

Required:

  • High school degree or equivalent, currently enrolled in an accredited degree program.

  • Self-motivated with the ability to take initiative and work as an effective team player in diverse populations.

  • Must demonstrate excellent verbal and written communication skills.

  • Demonstrated knowledge of general administrative procedures, good organizational skills, and the ability to work independently on projects.

  • Ability to review existing processes and make suggestions for possible improvement.

  • Knowledge of Microsoft Office software applications is required.

Preferred:

  • Students from the State University of New York colleges and universities.

  • Enrolled in a finance-related degree program.

Compensation for this position: The compensation for this role is $18/hr undergrad and $20/hr grad students.
