JOB DESCRIPTION: Plans and executes meetings, functions, and special events for multiple units and departments. Collaborates with staff and clients to establish event goals and objectives; develops and recommends event operating procedures; establishes and manages event planning timelines; creates task assignments; and proposes resources needed to execute event. Determines fiscal requirements for events, prepares budgetary recommendations, and negotiates terms with vendors. Works with designers to create invitations, promotional and other printed materials. Oversees and facilitates event briefing and coordination of speakers/presenters. Provides leadership, direction, and coordination among speakers, staff, and volunteers during event program/production. Prepares post-event analysis to assess opportunities and make recommendations for improving events and services to internal and external constituencies, and to implement recommendations as appropriate. Seeks out innovative and creative ideas for events through research, networking, and continuing education classes. May supervise staff. Performs related responsibilities as required.
Additional Job Details:
This role will consolidate the event planning responsibilities for the Winship Cancer Institute that are outside of Development’s functions. There are several national conventions where Winship hosts functions that require event planning. Working with the Executive Director and Senior Winship Leadership, this role will be responsible for arranging for a professional event at those conferences. In addition, Winship hosts several scientific retreats and symposiums for colleagues throughout the year. This position will plan, coordinate and manage those event productions. In addition, this position works closely with other Winship staff to organize and manage events. This position requires the individual to have the flexibility in their work schedule to attend events. Some travel to conventions may be required. This effort will involve working with vendors, reviewing contracts for execution by the Executive Director for Winship.
MINIMUM QUALIFICATIONS: Bachelor's degree and three years of related experience, or equivalent combination of experience, education, and training.DATE CREATED/MODIFIED/REVIEWED: 09/15/06 JAK
PREFERRED QUALIFICATIONS : The candidate must be able to deliver an event production that promotes Winship’s National reputation as a leading cancer center by successfully orchestrating a complex calendar of events, planning key action items and follow-ups for the events and an understanding academic medical centers and scientific organizations. The successful candidate must be highly organized but comfortable working in a fluid environment with rapidly changing demands; succinct communication skills and extreme attention to detail are also important. The candidate will also be involved in all planning aspects for the Winship events. Excellent verbal and written communications skills and strong interpersonal skills are required for participation in a team environment. Attention to detail and strong computer software skills necessary to maintain information for events for Winship. Individual must be able to work independently in a fast-paced environment, prioritize work and make sound judgments.
